The motorhome rental pick-up/return depots are located at Denver, Las Vegas, Los Angeles, New York (New Jersey, actually), Orlando, and San Francisco.

The minimum official RV rental duration for residents of the USA is 3 nights (increased to 5 nights over major holidays, 7 nights for one-ways and Burning Man).

The minimum official motorhome rental duration for persons who reside outside the USA is 7 nights.

    The IdeaMerge online reservation software will determine and suggest to you the optimal miles/kilometer solution for the number of miles/kms you plan to drive. Miles can be pre-booked in blocks of 500 miles (800 kilometers) costing US$ 190 including tax or — if the duration is at least 14 nights and the pick-up is in the duration 1 April through 31 October and the client is not a resident of North America (i.e. Canada, USA, Mexico) — as unlimited miles featured in the inclusive package, which package is available only for such qualifying rentals and includes the prep fee, convenience kits and GPS navigation, along with unlimited miles; and as of March 25, 2013, it includes camping chairs as well. Our software will compute whether the inclusive package applies and whether it is the best deal for you given the expected driving distance you enter and the optional extras you select.

    IMPORTANT: motorhome rental clients arriving on flights from overseas are not allowed to pick-up their motorhome on the day their flight arrives, this constraint being imposed by Road Bear RV's insurance company in recognition of the naturally fatigued state of such clients upon their flight arrival in the USA.

    IMPORTANT: Canadian residents are not permitted by Canada to rent a motorhome in the USA to travel in Canada. A similar restriction applies to Mexican residents renting in the USA and wanting to travel in Mexico.

    Shuttle transfer is offered 11 am to 1 pm only free of charge from/to the relevant airport area — i.e. departing the rental depot at about 11:00 am, arriving at the airport area about 11:30 am – 12:00 noon, and returning to the rental depot by about 1:00 pm — and to/from the Las Vegas "strip"; but it is not offered to/from Manhattan nor to/from New York's JFK and Laguardia airports (only to/from the nearby Newark, New Jersey, airport area, i.e. the EWR area), and it costs US$ 50 to/from certain locations in the other metropolitan areas. Clients opting for such transfer should telephone the depot the day prior to the pick-up day, to finalize and confirm plans. The complimentary permitted amount of luggage the shuttle will take is in accordance with the airline regulations: two suitcases weighing no more than 50 pounds (23 kilograms) plus two pieces of hand luggage per person. Excessive luggage is the client's responsibility.

    Note: The reason we say the shuttle serves the "airport area" is because of the following caveat from Road Bear RV regarding airport pick-up:

    "We occasionally do pick-up clients directly at the airport, but direct airport pick-up’s tend to be problematic due to delayed flights, lost luggage, etc. Moreover, regular shuttles directly serving the airport are supposed to have a special shuttle license. If the customer is arriving in the morning, we suggest they plan to hop on a hotel shuttle so we can pick them up at the hotel. Besides, it's more comfortable for them in a hotel lobby and it's easier for the shuttle driver to find them there. We will not be able to wait for a customer directly at the airport itself if there is a problem of any kind."

    Note: for motorhome travel soft-sided or collapsable bags are the best sort to use.

    Motorhome rental pick-up (or return) is not possible directly at locations other than the depots.

    The motorhome rental depots are open for pick-up Monday–Friday, noon to 4 pm, i.e. weekdays in the afternoon; and on Saturdays from noon to 1 pm and perhaps (by special appointment) later on Saturdays. Morning pick-up is not bookable. The depots are open for standard return Monday–Saturday, 8 am to 10:30 am, i.e. mornings. A non-standard return time (i.e. an afternoon return) entails an extra night's worth of cost, and a Saturday afternoon return entails charge for Sunday night as well. The Road Bear RV imposes these standards such that most of its motorhomes can be prepared during regular business hours and delivered to a client on the same day that the motorhome is returned by the previous client. Thus the vendor doesn't lose out on renting that motorhome for that night. A Saturday afternoon return means the vendor doesn't have time to prepare and rent the motorhome to someone else for Saturday night; and because the vendor is closed Sundays, the vendor cannot rent the motorhome Sunday night too. The IdeaMerge software accounts for non-standard pick-up and non-standard return times.

    A fee of US$ 30 per hour or US$ 300 per night applies to late return of the motorhome. The depots are closed during certain holidays, which are accounted for by our online reservation software.

    Road Bear RV provides free storage of luggage at the rental depot (but at the client's risk). Again, for motorhome travel soft-sided or collapsable bags are the best sort to use.

    If you want to park a car at or near the motorhome rental depot for the duration of your camper rental, please contact the depot directly a day or so before your rental, this to learn whether they happen to have room. Such parking is generally at the client's risk.

    A thorough explanation and demonstration of the rental motorhome will be provided upon pick-up. This orientation, together with completion of the relevant paperwork, requires approximately one hour.

    Travel with the rental motorhome to Alaska, the Yukon, or the NW Territories requires authorization from the vendor. The vendor does not allow travel into Death Valley from 15 June through 15 September. Travel into Mexico is not allowed.

    Where/when the ambient temperatures of the low-altitude regions near the depot are expected to be below the freezing point during a client's rental, the motorhome will be delivered to the client with its water/waste system drained, hence neither the sink, the shower nor the toilet can be used; and if the client re-hydrates this system during the rental and returns the motorhome as such, a US$ 100 fee will be charged to the client upon return. In contrast, if such temperatures will or may be encountered only at higher altitudes or otherwise sporadically during a client's rental duration the motorhome may or will, respectively, be delivered to the client with its water/waste system hydrated. Regardless, in all cases the client is responsible for any damage to the water/waste system due to freezing. Which is to say, the client should be sure the water/waste system is drained of water before using the motorhome where that water system might freeze. Of course upon the pick-up occasion the vendor can provide instruction regarding the draining and rehydration of that system. In this light note that the Denver depot is closed December through February.

Hertz has a car rental depot in Middletown (free shuttle service from Road Bear; see above); one-way from New York City should cost about US$ 70, this compared to 4–8 passenger limousine service for about US$ 120–160. To/from the New Jersey Transit train station (again, in Middletown, on the North Jersey Coast Line) direct trains are available from/to Newark EWR airport (50 minutes, US$ 12 per person) and Manhattan (75 minutes, US$ 14 per person).   • Orlando: 7276 Narcoossee Road, Orlando, FL 32822, tel. +1 855 926 8727. The depot is 5 miles from the Orlando international airport. Free shuttle service from airport hotels and to airport hotels and airport; no Disney World, Universal Studios or downtown Orlando transfer. The Florida Turnpike Enterprise operates an all-electronic open road tolling system on the southern 47-mile stretch of the Turnpike, from US1 in Florida City to the Miami-Dade/Broward County line. There are the following options for payment to travel on the Turnpike:
  • Contact the SunPass Customer Service Center by calling 1-888-865-5352 or visit them online at www.SunPass.com. Their representatives will provide information on how to obtain a "SunPass" transponder during the rental period. The transponder will allow traveling on toll roads by paying money into the personal SunPass account. Customers picking up in Orlando may rent a transponder at the branch.
  • Alternatively the "TOLL-BY-PLATE" program can be used. That program captures an image of the vehicle license plate and bills the registered owner of the vehicle for the toll amount. The TOLL-BY-PLATE program allows the customer to call in to register for a TOLL-BY-PLATE account and to pay for tolls before an invoice will be issued. Payments can be made by cash, credit/debit card on-line or through payment kiosks located at major retail stores. Florida State Law (Statue 316.1001) requires payment of prescribed tolls for the usage of toll facilities. Failure to comply with this statute may result in the assessment of a US$ 100 or more civil penalty, assessment of court costs, and suspension of the vehicle registration and/or suspension of the driver's license. It will be important for the customer to inform the vendor drop-off location of the fact that they traveled on the Florida Turnpike, regardless of what option they choose. In case an invoice for toll fees will be sent to the vendor, as the registered owner of the vehicle, all charges due will be charged to the customer's credit card on file and processed according to our rental provisions with regards to traffic citations (including administrative fees).
